1. Booking & Confirmation

A binding contract is established upon receipt of the required deposit and written confirmation from Sharubu. The lead booker is responsible for ensuring all members of the travelling party agree to these terms.

2. Payment Terms

Deposit: A non-refundable deposit of 30% is required to confirm your booking, payable within 14 days of receiving our invoice.

Balance: The remaining 70% must be received no later than 42 days before departure. For bookings within 42 days, full payment is required immediately.

All payments are made by bank transfer only. We do not accept card payments or PayPal.

3. Cancellation by Client

All cancellation requests must be submitted in writing. Charges apply as follows:

  • 60+ days before departure: Loss of deposit (30%)
  • 45–60 days: 50% of total cost
  • 30–44 days: 75% of total cost
  • 15–29 days: 90% of total cost
  • Less than 15 days / no-show: 100% — no refund

Some services (flights, permits, certain lodges) may be non-refundable once booked.

4. Cancellation by Company

If we cancel due to Force Majeure or safety concerns, you will be offered alternative dates, a travel credit (12 months), or a full refund.

5. Travel Documents & Visa

You are responsible for obtaining a valid passport (6+ months validity), e-Visa, and any required vaccination certificates. No refund for inability to travel due to missing documents.

6. Travel Insurance

Comprehensive travel insurance is mandatory. Coverage must include medical expenses, emergency evacuation (min. €100,000), trip cancellation, and adventure activities. We include AMREF Flying Doctors coverage but this does not replace personal insurance.

7. Health & Medical

You must disclose any medical conditions, disabilities, or dietary requirements. Malaria prophylaxis is strongly recommended. Yellow Fever vaccination may be required depending on your route.

8. Safari Conduct

You must follow the guide's instructions at all times, remain in the vehicle during game drives, maintain safe distances from wildlife, and comply with park regulations. We may terminate the safari without refund for dangerous, illegal, or abusive behaviour.

9. Wildlife Sightings

Wildlife sightings cannot be guaranteed. No refund or compensation is offered for specific animals not being seen.

10. Liability

We are responsible for delivering services as described in your itinerary. We are not liable for: acts of nature, wildlife behaviour, third-party supplier defaults, personal injury due to client negligence, loss of personal belongings, or Force Majeure. Our total liability shall not exceed the total amount paid for the safari.

11. Governing Law

These terms are governed by Dutch law. Disputes shall be resolved in the competent Dutch court.
