Important Information

By booking with Sharubu, you confirm that you have read and agreed to these Terms & Conditions. We’ve written them clearly so you know exactly what to expect.

General

1. Definitions

  • "Company," "We," "Us," "Our" — Sharubu.com, based in Arusha, Tanzania.
  • "Client," "You," "Your" — The lead booker making the reservation, as well as all members of the travelling party.
  • "Safari" — Any tour, game drive, excursion, package, or service provided or arranged by us.
  • "Booking" — A confirmed reservation of services, established upon receipt of deposit and written confirmation.
  • "Force Majeure" — Any event beyond our reasonable control, including but not limited to: war, terrorism, natural disasters, epidemics/pandemics, political instability, government restrictions, airline cancellations, severe weather, or civil unrest.

Sharubu.com is a Tanzania-based safari tour operator with our team based in Arusha, Tanzania. We organize private, tailor-made safaris across Tanzania's national parks and conservation areas.

These Terms & Conditions are governed by Dutch law. Any disputes shall be resolved under the jurisdiction of the competent Dutch court, unless mandatory rules require otherwise.

Booking & Payment

3. Booking Process & Confirmation

All bookings are made directly with Sharubu. By booking a tour with us, you agree to these Terms & Conditions.

  • Bookings must be made in writing via our booking form, email, or WhatsApp.
  • After receiving your inquiry, we provide a personalized itinerary and quotation — free and without obligation.
  • A binding contract is established only upon receipt of the required deposit and written confirmation from us.
  • Quotes are valid for 14 days unless otherwise stated. Prices may change after this period due to exchange rate fluctuations or supplier price adjustments.
  • The lead booker is responsible for ensuring all members of the travelling party are aware of and agree to these terms.

To confirm your booking, you must provide: full names (as per passport), date of birth, nationality, passport details, any medical conditions, and dietary requirements for all travellers.

4. Payment Terms

Deposit: A non-refundable deposit of 30% of the total safari cost is required to confirm your booking. The deposit must be paid within 14 days of receiving our confirmation invoice.
Balance: The remaining 70% must be received no later than 42 days before your safari departure date.
  • For bookings made within 42 days of departure, full payment (100%) is required immediately upon confirmation.
  • Failure to pay the balance by the due date may result in automatic cancellation of your booking, and the deposit will be forfeited.
  • Travel documents and final trip details will only be released upon receipt of full payment.

Accepted payment methods:

  • Bank transfer (preferred — no processing fees). All payments are processed in EUR (€) via our Dutch bank account. If you choose to pay in another currency, your bank or payment provider will automatically convert the amount to euros at the exchange rate applicable at the time of the transaction.

All prices are quoted in EUR (€) unless otherwise stated. Bank transfer charges are the responsibility of the client. We provide clear, itemized invoices with no hidden costs.

5. Pricing & What's Included

Typically included in our safari packages:

  • All national park entrance and conservation fees
  • Swahili-English-speaking safari guide
  • Private 4×4 Land Cruiser with pop-up roof
  • Accommodation as specified in your itinerary
  • All meals during the safari (full board)
  • Drinking water throughout the trip
  • Airport transfers (Arusha and Kilimanjaro International Airport)

Not included (unless stated otherwise):

  • International and domestic flights
  • Visa fees and travel insurance
  • Alcoholic and soft beverages
  • Tips and gratuities for guides, drivers, and lodge staff
  • Laundry, phone calls, and personal expenses
  • Optional activities (balloon rides, walking safaris, cultural visits) unless specified
  • Any government tax increases imposed after booking

The exact inclusions and exclusions for your specific safari will be detailed in your personalized itinerary and invoice.

Cancellation & Changes

6. Cancellation by the Client

All cancellation requests must be submitted in writing via email to info@sharubu.com. Cancellations are only confirmed once you receive written acknowledgment from us.

Cancellation charges (percentage of total safari cost):
  • More than 60 days before departure: Loss of deposit (30%) only
  • 45–60 days before departure: 50% of total cost
  • 30–44 days before departure: 75% of total cost
  • 15–29 days before departure: 90% of total cost
  • Less than 15 days or no-show: 100% — no refund

Some services and certain lodge bookings may be non-refundable once booked, regardless of the cancellation timeline. We will inform you of any such non-refundable components at the time of booking.

We strongly recommend purchasing comprehensive travel insurance that includes trip cancellation coverage from the moment you make your booking.

7. Cancellation by the Company

We reserve the right to cancel or modify a safari at any time prior to departure due to:

  • Force Majeure events (natural disasters, pandemics, political instability, terrorism)
  • Safety concerns that make the itinerary unviable
  • Government travel restrictions or park closures
  • Client's failure to pay the balance by the due date

If we cancel your safari for reasons other than your non-payment or breach of terms, you will be offered:

  • An alternative departure date (subject to availability), or
  • A travel credit valid for 12 months, or
  • A full refund of all monies paid

We are not responsible for any incidental expenses you may have incurred, such as visa fees, vaccinations, non-refundable flights, or travel insurance premiums.

8. Changes & Amendments

Changes by the client:

  • Amendments requested more than 42 days before departure will be accommodated where possible. An administration fee of €75 per change may apply.
  • Amendments within 42 days of departure are subject to availability and may incur additional costs or cancellation charges.
  • Name changes: €50 per person, subject to supplier acceptance.
  • Date changes requested more than 60 days before departure may be accommodated once without penalty, subject to availability. Any price differences due to seasonal rates will apply.

Changes by the company:

While we make every effort to deliver your safari exactly as confirmed, circumstances in the African bush sometimes require adjustments. We reserve the right to make changes due to:

  • Weather conditions or seasonal flooding
  • Road conditions and accessibility
  • Wildlife movements and park authority decisions
  • Safety concerns or guide recommendations
  • Lodge/camp overbooking by third-party suppliers

In the case of a minor change (e.g., substituting a lodge with one of equal or higher standard), no compensation will be offered. For major changes that significantly alter the quality of your safari, we will offer you alternatives or a partial refund as appropriate.

Travel Requirements

9. Travel Documents, Passports & Visas

It is your responsibility to ensure that all travel documents are valid and in order before departure.

  • Passport: Must be valid for at least 6 months beyond your date of entry into Tanzania, with at least one blank page.
  • Visa: Most nationalities require an e-Visa, which must be obtained before arrival. Apply at visa.immigration.go.tz. Processing takes up to 10 business days.

We are happy to guide you through the visa application process but cannot be held responsible if you are denied entry due to invalid or missing documents. No refund will be given if you are unable to travel due to incorrect documentation.

10. Travel Insurance

Mandatory: Comprehensive travel insurance is required for all travellers.

Your insurance policy must cover, at minimum:

  • Medical expenses and emergency evacuation (minimum €100,000 coverage)
  • Trip cancellation and interruption
  • Lost, stolen, or delayed baggage
  • Adventure activities including safari game drives
  • Repatriation in case of emergency

Sharubu.com cannot be held liable if you fail to obtain adequate insurance. We reserve the right to request proof of insurance before departure.

11. Health, Vaccinations & Fitness

Vaccinations:

  • A Yellow Fever vaccination certificate is required if arriving from or transiting through an endemic country (12+ hour layover).
  • Malaria prophylaxis is strongly recommended — consult your doctor at least 4–6 weeks before departure.
  • Recommended: Hepatitis A & B, Typhoid, Tetanus/Diphtheria/Polio booster.

Medical disclosure: You must inform us in writing of any medical conditions, disabilities, allergies, dietary requirements, or mobility restrictions that may affect your ability to participate in the safari. Failure to disclose relevant medical information may result in cancellation without refund if we determine the safari is unsuitable for your condition.

Fitness: Safaris require a reasonable level of physical fitness. Game drives involve long periods in a vehicle on rough terrain. Some activities (walking safaris, crater rim hikes) require good mobility. We will advise on physical requirements for your specific itinerary.

Important: Always consult your doctor or a travel health clinic for personalized medical advice. We provide general guidance but cannot be held responsible for health issues arising during your trip.

On Safari

12. Safari Conduct & Safety Rules

For your safety and the protection of wildlife, all clients must:

  • Follow the guide's instructions at all times — your guide is trained to keep you safe
  • Remain inside the vehicle during game drives unless the guide explicitly permits otherwise
  • Maintain safe distances from all wildlife — never approach, touch, or provoke animals
  • Never feed any animals, including monkeys and birds at lodges
  • Keep noise levels low during game drives to avoid disturbing wildlife
  • No littering in national parks — this is also a Tanzanian law with fines
  • Follow all national park regulations as set by TANAPA (Tanzania National Parks Authority)
  • Wear neutral-colored clothing (no bright colors, no camouflage — camouflage is restricted in Tanzania)

Important: Safari camps and lodges are generally unfenced. Wildlife moves freely in and around accommodation areas, especially at night. Always follow the safety briefings provided at each property.

13. Behaviour & Grounds for Termination

We reserve the right to immediately terminate your safari without refund if any member of the party:
  • Engages in illegal activities under Tanzanian law
  • Endangers themselves, other travellers, staff, or wildlife
  • Displays abusive, threatening, or harassing behaviour toward guides, lodge staff, or other guests
  • Is under the influence of drugs or excessive alcohol to the extent that it affects group safety
  • Repeatedly refuses to follow the guide's safety instructions
  • Violates national park regulations

In the event of termination, the client is responsible for all costs of their onward travel and accommodation. No refund will be issued for unused safari services.

14. Wildlife & Nature

Tanzania offers some of the finest wildlife viewing in the world. However, please understand:

  • Wildlife sightings cannot be guaranteed. Animals are wild and free-roaming. While our experienced guides know the best locations and will make every effort, nature is unpredictable.
  • The Great Migration follows general seasonal patterns but exact timing and locations vary year to year.
  • Weather, road conditions, and park authority decisions may affect which areas are accessible.
  • No refund or compensation is offered for specific animals not being seen or migration events not occurring during your visit.

Our guides have extensive local knowledge and will optimize your route for the best possible game viewing experience.

Liability & Legal

15. Our Liability

We are responsible for:

  • Delivering safari services as described in your confirmed itinerary
  • Providing properly maintained 4×4 safari vehicles
  • Employing experienced, licensed safari guides
  • Making reasonable efforts to ensure your safety and comfort

We are NOT responsible for:

  • Acts of nature, weather conditions, or natural disasters
  • Wildlife behaviour, animal encounters, or specific sighting outcomes
  • Actions, omissions, or defaults of third-party service providers (airlines, lodges, domestic flight operators)
  • Personal injury, illness, or death resulting from client negligence or failure to follow safety instructions
  • Loss, theft, or damage to personal belongings, luggage, cameras, or valuables
  • Delays or cancellations caused by airlines, immigration, or border authorities
  • Circumstances constituting Force Majeure

Our total liability for any claim shall not exceed the total amount paid by you for the safari in question.

16. Client Responsibility & Indemnity

As a client, you are responsible for:

  • Obtaining valid travel documents (passport, visa, vaccination certificates)
  • Arranging adequate travel insurance as described in section 10
  • Disclosing all relevant medical information
  • Following all safety instructions from your guide and lodge staff
  • Your own personal safety, belongings, and valuables
  • The behaviour and safety of minors travelling under your care
  • Arriving at agreed meeting points and transfer times
  • Complying with all Tanzanian laws and national park regulations

You agree to indemnify and hold Sharubu.com harmless against any claims arising from your actions or negligence, or those of members of your travelling party.

17. Complaints

We strive to deliver an exceptional experience. If something is not to your satisfaction during your safari:

  • During the safari: Please inform your guide immediately. Most issues can be resolved on the spot.
  • After the safari: Submit your complaint in writing to info@sharubu.com within 14 days of your safari end date.
  • We will acknowledge your complaint within 48 hours and provide a full response within 14 business days.

Complaints not raised during the trip or reported more than 30 days after the safari end date may limit our ability to investigate and resolve the matter.

18. Photography & Marketing

Photographs and videos taken during your safari (by our guides or team) may be used for marketing purposes on our website, social media, and promotional materials. If you do not wish your images to be used, please notify us in writing before or during your safari.

Drone usage: Flying drones is prohibited in all Tanzanian national parks and conservation areas without special permits from TANAPA. Violation may result in fines and confiscation of equipment.

19. Governing Law & Disputes

These Terms & Conditions are governed by and construed in accordance with Dutch law.

Any disputes arising from or in connection with these terms or your booking shall be submitted to the exclusive jurisdiction of the competent court in the Netherlands, unless mandatory rules prescribe otherwise.

If any provision of these terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

We reserve the right to update these Terms & Conditions at any time. The version in effect at the time of your booking will apply to your safari.
